Get started with GuestLista
GuestLista turns Instagram guest-list messages into structured requests, matches them to the right event and guest list, and helps your team confirm guests in Attendium.
Allow about 10 minutes for a setup session with the GuestLista team. Initial Instagram activation is completed together with us on a desktop before you sign in on mobile.

Before you begin
Make sure you have:
- A scheduled onboarding session with the GuestLista team.
- Access to the Instagram Business account that receives guest-list messages.
- Access to your organisation's Attendium account.
- Your existing blacklist, ideally including exact Instagram usernames where available.
- Your venue rules, minimum age, and usual guest-list cutoffs available.
Set up GuestLista
1. Activate Instagram with the GuestLista team
The first Instagram connection is completed together with the GuestLista team. During your onboarding session, we will guide you through connecting the Instagram Business account your guests message and confirm that it is ready.
After activation, use Continue with Instagram to sign in with the connected account. GuestLista only processes messages sent to that account. Contact your GuestLista account manager before changing to a different Instagram account.
2. Connect Attendium
Select Connect Attendium in the sidebar and authorise GuestLista. Attendium remains the source of truth for your events, guest lists, and confirmed guests.
After connecting, open Events and confirm that the correct upcoming events and guest lists are visible.
3. Set up a guest-list rule template with the GuestLista team
During onboarding, the GuestLista team will help you create a reusable guest-list rule template for the setup you use across events. A template tells GuestLista which Attendium guest list to use, when automation should stop, who is eligible, how tickets are handled, and what confirmation to send.
For each rule, review:
- Audience and age — define which groups the rule applies to and the age range for the youngest person in the group.
- Automation cutoff — choose when GuestLista should stop processing matching requests automatically.
- Guest-facing list time — set the time communicated to guests, such as the latest time for free entry.
- Guest list — select the Attendium guest-list name that should receive the booking.
- Ticket treatment — choose whether tickets are free, paid, partially free, or capped at a maximum number of free tickets.
- Confirmation reply — add the Swedish confirmation and, if needed, an English version.
Use the template as the default if most events follow the same rules. You can adjust the rules for an individual event under Events → Per-event details.
Keep guest-list names consistent across Attendium events. Before enabling automation, check that every list referenced by the template exists on the upcoming events where it will be used. If no rule matches a request, GuestLista sends it to manual review.
4. Configure your other operating rules
Open Settings and review these items before enabling automation:
- Venue scope — choose which venues GuestLista is allowed to handle.
- Business timezone — used to interpret dates and event times.
- Minimum age — set the default age requirement and any per-day exceptions.
- Guest-list routing — decide which list should be used at different cutoffs.
- Max group size — larger groups can be held for manual review.
- Message tone — teach GuestLista how your confirmations should sound.
You can refine these rules later. Start conservatively if your team is still validating the workflow.
5. Set up the initial blocklist with the GuestLista team
Bring your existing blacklist to the onboarding session. The GuestLista team will help import it, confirm exact Instagram usernames, and prepare names that need to be matched when they next message your account.
After the initial setup, your team can review and maintain blocked accounts under Guests → Blocklist or Settings → Blocked senders.
6. Turn GuestLista on
In Settings → GuestLista status, enable GuestLista when your connections and rules are ready. The sidebar shows whether GuestLista is active, paused, or needs its Instagram connection restored.
When GuestLista is paused, it stops reading and replying to new Instagram messages until you enable it again.
How a request moves through GuestLista
- A guest sends a direct message to your connected Instagram account.
- GuestLista extracts the guest name, party size, date, venue, and other useful details.
- GuestLista matches the request to an upcoming event and guest list.
- Safe requests can be handled automatically according to your settings.
- Unclear or exceptional requests appear in Inbox for your team to review.
- Approved guests are added to Attendium and can receive a confirmation reply on Instagram.
Always check the original conversation before approving a request when important details are missing or the request is unusual.
Your everyday workspace
Inbox
Active requests contains items that need a decision or additional information. Open a request to review or edit the guest name, party size, event, and guest list before approving it.
Manual conversations contains threads where your team has taken over from GuestLista. Handle the conversation directly, then return it to automation when appropriate.
The Log provides a record of requests that GuestLista or your team has already handled.
Events
Use Events to review upcoming events, guest-list counts, and available capacity. You can switch between list and calendar views and add per-event details such as age limits, door information, and routing rules.
Guests
Use Guests to review known guests, change whether an individual should be handled automatically or manually, and manage the blocklist.
Settings
Use Settings to update operating rules, pause GuestLista, manage connected venues, adjust message tone, and revoke active sessions.
Sign in on mobile
- While signed in on desktop, select Mobile login in the sidebar.
- Open GuestLista on your phone and enter the six-digit code.
- Approve the sign-in request on your desktop.
Codes expire after five minutes. Never approve a mobile sign-in you do not recognise.
Safe operating practices
- Keep GuestLista paused until Instagram, Attendium, venue scope, and routing are correct.
- Use a conservative max group size so table enquiries and exceptional groups reach your team.
- Review the Inbox regularly, especially during your first live events.
- Add unwanted senders to the blocklist instead of repeatedly dismissing their messages.
- Revoke old or unfamiliar devices under Settings → Active sessions.
- Recheck this guide after major GuestLista updates; interface labels may change as the product develops.
Troubleshooting
Events or guest lists are missing
Confirm that Attendium is connected and that the events are upcoming in Attendium. Then reload Events. If only some venues are missing, review Settings → Venue scope.
GuestLista is not processing new messages
Check the status in the sidebar. Open Settings and verify that GuestLista is enabled and Instagram is connected.
If this is your first setup, or the connection cannot be restored, contact your GuestLista account manager so we can complete the connection with you.
A request was not approved automatically
Open the request in Inbox and review the reason shown. Missing details, age rules, group-size limits, unclear event matches, and account-specific settings can all require manual review.
The mobile code does not work
Generate a new code from the desktop sidebar and enter it within five minutes. Keep the desktop session open so you can approve the sign-in.
You still need help
Contact your GuestLista account manager and include the affected Instagram username, event, and approximate message time. Do not send passwords or login codes.
